Someone off at 6.41 am, the rota redone by 6.52 am
The module knows your rota, skills and hours counters. It suggests stand-ins, sends the request, and redoes the rota at the first yes. Holidays are covered by Managing leave and balances.
Tuesday 6.41 am: Karim lets you know, he opens at 7 am
Each one is free to accept or decline.
6.44 am: the request goes to all three, the rest sorts itself out
An empty position at 6.41 am,
filled without a single call.
Just one of these lines is enough
- 01You've already woken someone up on their day off, for nothing
- 02You open late because you spent the morning on the phone
- 03You can't say off the top of your head who's already done their hours this week
- 04You've put someone on a position they weren't allowed to hold
- 05You're chasing the sick note three days later
Three possible stand-ins, ranked. You approve, the request goes to all three together.
6 h 42The rota is redone and visible to the team. The other two are told.
6 h 51You decide, step by step, what you hand over
Here's what becomes of Karim's absence, one Tuesday morning. At each step, say whether you keep doing it or Atlas® takes it on: the counters recalculate before your eyes.
The absence comes in
From the employee's phone, or noted by you in two taps. The slot is read from the day's rota: position, start, end.
It rules out, then it ranks
Ruled out: those already working, those whose eleven hours of rest aren't over, those without the skill. Then ranked on hours left and distance.
You approve, and each one stays free
Nothing goes out without your approval, and the employee accepts or declines: cover is never imposed. This step can't be handed over, at any setting.
The request goes to the top three
To the top three at the same time, with the slot and the uplift if you've switched it on. The first to accept takes the place.
The rota redoes itself
The line changes, the team sees the updated version, the hours counters follow.
The sick note is requested
Requested properly, with the legal 48 hours tracked until receipt. Never the medical reason.

Tuesday 6.41 am, an empty position at opening
Seven phone calls on one side, none on the other.
Karim calls. You open in nineteen minutes.
You look for the rota pinned up in the stockroom.
You wake Sabrina. It's her day off, she hangs up annoyed.
Yanis doesn't answer. You leave a message.
Nadia says yes. She's never run the oven on her own.
You open late, and the pinned-up rota is wrong.
You're still chasing Karim's sick note.
Karim reports his absence. You're told.
Three names ranked, each with its reason.
You approve. The request goes to all three together.
Sabrina accepts. The other two are told.
The rota is redone and visible to the team.
The sick note is requested, the 48 hours are counting.
You open on time. Zero calls made.
It isn't a rare case, it's every other week

What it will never do
- Impose cover: the employee accepts or declines
- Suggest someone whose compulsory rest isn't over
- Judge an absent employee, or keep score against them
- Calculate payroll: your accountant keeps that job
What's written in the contract
- The medical reason is never asked for or kept
- Every request is logged: sent, accepted, declined
- Your data stays yours, we act only on your instructions
- Full return of rotas and hours at the end of the contract
A sick note is health data: receipt and end date tracked, never the reason. Article 28 of the European regulation. Contract handed over before connection.
